Terms of Service

These terms are an agreement between you and Fluid Technologies Pty Ltd (“ClubSport”, “we”, “us”), the operator of clubsport.world and play.clubsport.world (together, the “Platform”). They apply whenever you browse the Platform, create an account, run a club on it, or register to play.
We’ve written them in plain language on purpose. If anything is unclear, ask us before you rely on it.
1. Accepting these terms
By creating an account or using the Platform you accept these terms and our Privacy Policy. If you register for a league, you accept them again at that point, together with any terms and policies the club running that league provides. If you don’t agree, don’t use the Platform.
Age matters on ClubSport. If you are under 16, you can’t create your own account — a parent or guardian creates and manages one for you and accepts these terms on your behalf. If you are 16 or 17 you may create your own account, but registering for any league requires your parent or guardian’s permission. Section 2 explains how this works.
2. Children and family accounts
Two age rules apply across the whole Platform, for every club and league:
- Under 16 — parent-managed accounts. Children under 16 cannot sign up themselves. Instead, a parent or guardian adds them from the Familypage of their own account. The child’s account has no login of its own: the parent or guardian manages the child’s details, registers them for leagues, makes payments, and receives every email the Platform would otherwise send the child.
- Under 18 — parental permission to play.Every league registration for a player under 18 requires a parent or guardian’s permission, recorded during registration. When a parent registers a managed child, giving permission is part of the flow. When a 16–17 year old registers themself, they must name their parent or guardian and confirm that person has given permission — and that must actually be true.
If you create or manage a family account, you confirm that:
- you are that child’s parent or legal guardian (or otherwise have legal authority to act for them);
- you accept these terms, the Privacy Policy and any club terms on the child’s behalf, and are responsible for the account’s activity as if it were your own;
- the information you provide about the child — including date of birth, and any medical details — is accurate; and
- you are the payer for the child’s registrations, gear and any disclosed replacement fees.
We record who performed each registration and the consenting adult’s name and relationship, and we may rely on those records. If we become aware that an account was created for a child under 16 without a parent or guardian managing it, or that a required parental permission was falsely given, we may suspend the account or cancel the registration.
3. What ClubSport is (and isn’t)
ClubSport is software for community sport: clubs use it to run leagues, teams, fixtures, registrations and payments; players use it to find a sport, sign up and follow their season.
The clubs on the Platform are independent organisations. They are not owned, operated or endorsed by us. When you register for a league, your agreement to play is with the club — we provide the software and payment processing, but we are not a party to that agreement, and we don’t run the competitions, supervise the activities or employ the coaches.
4. Your account
- Keep the information on your account true, current and complete — clubs rely on it for eligibility, emergency contact and medical purposes.
- Keep your login details secret. You are responsible for activity on your account.
- One account per person. Don’t impersonate anyone or create an account for someone else without their (or their guardian’s) authority. The only accounts you may create for another person are family accounts for your own children under section 2.
- Tell us straight away if you think your account has been compromised.
5. Registering with a club
When you register for a league (for yourself or a child you manage):
- You must accept these terms and the registering club’s own terms, code of conduct and policies. The club is required to provide a copy of those documents in the registration flow so you can read them before you agree.
- If the player is under 18, the registration must carry a parent or guardian’s permission as described in section 2 — this applies to every league automatically, whatever the club’s own rules say.
- The registration fee, any early-bird pricing, and any gear or add-on prices are set by the club, not by us. The price you see at checkout is the price you pay.
- You must provide accurate emergency contact details, and accurate age and gender information where a league has eligibility rules.
6. Running a club on ClubSport
If you manage a club on the Platform, you agree that your club will:
- only be operated by people with authority to act for the club;
- keep its listings, pricing and league details accurate;
- provide a copy of its own terms, code of conduct and policies by attaching them to each league, so players can read and accept them during registration — a player’s acceptance recorded by the Platform only covers documents that were actually provided;
- hold the insurances, accreditations, working-with-children checks and other approvals that apply to its activities;
- be responsible for the safety, supervision and conduct of its activities;
- only use member data for running the club, and handle it in line with our Privacy Policy and applicable privacy law; and
- honour the Refund Policy and deal with players fairly.
7. Payments and fees
- Payments are processed by Stripe. We never see or store your full card number. Stripe’s own terms apply to the processing of your payment.
- For a managed child’s registration, the parent or guardian is the payer: the payment, any saved card, and any refund all belong to the parent or guardian’s payment method.
- ClubSport charges clubs a platform fee on paid registrations. The fee is deducted from the club’s side — it is not added on top of the price you pay as a player.
- Depending on the club’s setup, your payment is either routed to the club’s own Stripe account or collected by us and paid to the club by bank transfer. Either way the amount you pay is the same.
- If you rent gear that the club tracks as a loan, your card is saved securely with Stripe and may be charged the replacement fee disclosed at checkout if the gear is not returned. This is shown to you before you pay, both on the rental option and on the payment step.
8. Refunds and cancellations
Refunds are covered by our Refund Policy. In short: while your payment is still held on the Platform, the club can refund you in full through ClubSport — including our platform fee. Once funds have been paid out to the club, refunds are handled directly between you and the club. If a club cancels a league, players whose payments are still held on the Platform are refunded in full.
9. Acceptable use
Don’t use the Platform to:
- break the law, or infringe anyone’s rights;
- harass, threaten or abuse other members — community sport runs on respect;
- post content that is defamatory, obscene, or inappropriate for a platform used by juniors;
- access data you aren’t authorised to see, probe or disrupt the Platform, or scrape it; or
- send spam or unsolicited marketing to members.
We may remove content or suspend accounts that breach this section, and we take the safety of junior participants particularly seriously.
10. Content
Clubs and members keep ownership of the content they upload (logos, documents, announcements, photos). By uploading it you give us a licence to host and display it for the purpose of running the Platform — including, for clubs that opt in, on their public club page. The Platform itself, including our software, design and branding, belongs to Fluid Technologies Pty Ltd.
11. Sport carries risk
Playing sport involves a real risk of injury. Clubs — not ClubSport — are responsible for the conduct, supervision and safety of their activities, and for holding appropriate insurance. Nothing in this section limits the club’s obligations to you, or any rights you have under the Australian Consumer Law.
12. Our service, disclaimers and liability
We work hard to keep the Platform available and accurate, but we provide it “as is” and can’t promise it will be uninterrupted or error-free.
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these terms excludes, restricts or modifies those guarantees. Beyond them, and to the extent the law allows, our liability for any claim connected with the Platform is limited to resupplying the affected service, and we are not liable for the acts or omissions of clubs or other members, or for indirect or consequential loss.
13. Suspension and closing your account
You can close your account at any time from your settings — deletion takes effect after a 30-day grace period (see the Privacy Policy). We may suspend or terminate accounts that breach these terms, put other members at risk, or are involved in fraudulent payment activity. Where reasonable we’ll warn you first.
14. Changes to these terms
We may update these terms as the Platform evolves. For significant changes we’ll give you reasonable notice — by email or in the app — before they take effect. Continuing to use the Platform after that means you accept the updated terms.
15. Governing law
These terms are governed by the laws of New South Wales, Australia, and you and we submit to the non-exclusive jurisdiction of the courts there.
